Job Description
The Clinic Coordinator will serve as the essential support to the clinic’s operations by ensuring efficient coordination of various administrative and clinical activities. This individual will play a vital role in managing schedules, overseeing supply orders, supporting clinical services, and ensuring that regulatory and operational standards are maintained across the clinic. The role requires a detail-oriented, proactive professional who can handle a range of responsibilities, from patient follow-ups and clinic logistics to emergency preparedness and coordination with providers and external vendors. This role may require flexibility in working hours based on clinic needs and emergencies.
Key Responsibilities:
Clinical & Operational Support:
- Oversee lab results, medical supplies, test equipment, and emergency preparedness.
- Manage Chronic Care Management (CCM), Transitional Care Management (TCM), and overdue orders.
- Coordinate and monitor provider expense reports, medical device calibration, and infection control protocols.
Scheduling & Time Management:
- Manage clinic schedules, provider PTO, and time logs.
- Coordinate urgent appointments, sales meetings, and remote work approvals.
Administrative & Communication Support:
- Handle provider licensure, certifications, and CME compliance.
- Assist in patient communication, clinic cleanliness, and vendor coordination.
Clinical Compliance & Risk Management:
- Oversee lab result reviews, nursing competency checks, and DOT compliance.
- Maintain narcotics disposal records and infection control documentation.
Emergency & Safety Protocols:
- Develop emergency preparedness drills and manage AED maintenance.
- Serve as a point of contact for emergency situations.
Additional Duties:
- Coordinate school physicals and flu shot clinics.
Support antimicrobial stewardship programs and documentation.
Qualifications:
- Education: High school diploma (required); Associate’s healthcare-related degree (preferred).
- Experience: Preferred Minimum 2 years in clinical coordination or administration.
- Skills: Strong organizational, communication, and multitasking skills.
- Proficient in office software (Google Workspace, Microsoft Office Suite, etc.) and medical
management systems. - Experience with medical supply management, scheduling software, and payroll/timekeeping
systems a plus. - Ability to maintain confidentiality and manage sensitive patient information in accordance with
HIPAA guidelines.
Knowledge of healthcare regulations, compliance requirements, and emergency protocols.
